We are seeking a highly organized, proactive, and detail-oriented Executive Administrative Assistant to support senior leadership in a fast-paced, global SaaS environment.
This role requires exceptional judgment, discretion, and the ability to operate independently while managing competing priorities.
Manage complex executive calendars, coordinating meetings across multiple time zones and proactively resolving scheduling conflicts.
Prepare meeting agendas, materials, and follow-up documentation for internal leadership meetings and Board sessions.
Handle confidential correspondence, presentations, and documentation with the highest level of discretion and accuracy.
Coordinate domestic and international travel logistics, including itineraries, accommodations, and expense reporting.
Track key deliverables and action items from leadership meetings to ensure alignment and timely execution.
Serve as the central coordination point between executives, internal teams, and external stakeholders.
Draft, review, and edit communications, reports, and presentations on behalf of senior leadership.
Assist in preparing quarterly Board materials and company-wide updates.
Maintain organized digital filing systems for executive and company documentation.
Anticipate operational needs and proactively identify opportunities to improve executive efficiency.
Support the planning and execution of virtual and in-person leadership offsites and company events.
Contribute to fostering a culture of responsiveness, professionalism, and confidentiality within the leadership office.
4–5+ years of experience supporting senior executives, ideally within a fast-paced SaaS or technology environment.
Proven experience managing multiple C-suite leaders simultaneously.
Advanced proficiency in Microsoft Office Suite (Salesforce experience is a plus).
Exceptional written and verbal communication skills.
Outstanding organizational skills with strong attention to detail.
High level of professionalism, discretion, and sound judgment.
Experience supporting remote, globally distributed teams.
