🎯 Role Overview
We’re looking for a detail-oriented Payroll Specialist to support end-to-end payroll operations across the U.S. and Canada.
You’ll play a key role in ensuring payroll is processed accurately, on time, and in full compliance with all applicable regulations. This position partners closely with HR, Accounting, and Finance to maintain data integrity, resolve payroll issues, and continuously improve processes.

📊 Key Responsibilities
💰 Payroll Processing
- Process semi-monthly payroll for U.S. and Canadian employees
- Ensure accurate calculation of wages, overtime, bonuses, commissions, and deductions
- Maintain payroll data in systems (e.g., ADP) and validate information before processing
📥 Payroll Operations & Employee Support
- Manage payroll inbox and respond to employee inquiries (pay discrepancies, deductions, direct deposit, etc.)
- Review and process payroll-related changes, including new hires, terminations, and benefit updates
🧾 Reconciliations & Accounting Support
- Reconcile payroll data, accounts, and tax filings; investigate and resolve discrepancies
- Process payroll-related journal entries and support month-end close activities
⚖️ Compliance & Reporting
- Ensure compliance with U.S. federal, state, and local payroll regulations, as well as Canadian requirements
- Support payroll tax filings, amendments, and corrections (including W-2c)
- Maintain accurate payroll records and documentation for audit readiness
📅 Year-End Activities
- Support year-end processes, including W-2 preparation, reconciliation, and reporting
- Assist with tax registrations and compliance filings as needed
🤝 Cross-Functional Collaboration
- Partner with HR and Finance to ensure accurate employee data and payroll alignment
- Guide employees on payroll-related questions
⚙️ Process Improvement
- Identify opportunities to improve payroll processes, controls, and documentation
- Support audits and continuous improvement initiatives
🧠 What You Bring
- 3+ years of experience in payroll administration or a similar role
- Strong knowledge of U.S. payroll laws, regulations, and tax compliance
- Experience working with payroll systems (ADP or similar)
- Solid Excel skills (formulas, reconciliations, data validation)

- Experience handling sensitive and confidential information

Your day typically includes managing the payroll inbox, responding to employee inquiries, and gathering updates such as new hires, terminations, and benefit changes. You’ll prepare and validate payroll data, collaborate with HR and Finance, reconcile payroll and tax information, and support reporting and compliance activities.
